Grain Stock Reconciliation: finding the loss, not the culprit.

A facility ran 10,000 tonnes over its weighbridge in a season. The books said one thing, the floor said another, and the gap was 395 tonnes. It opened an investigation into 395 tonnes. What it could not account for was 5.26 tonnes.

Everything else was water it had dried out of the grain, screenings it had cleaned out of it, and empty bags that went back on the truck. All three had been booked as maize, because nobody had deducted them. What remained was smaller than the facility's own instruments could resolve, so its numbers could never have found a culprit. The shortfall it investigated was a computation nobody had done.

What this course is

It is the map. It tells you where the loss is and how big.

You finish able to locate your loss and size each channel in tonnes. That works online because it is arithmetic, sequence and judgement.

Our in-house programmes are a different product, not a deeper version of this one. They are the ground work at whichever location the map points to: on your site, with your crew, building the control. On a 10,000 tonne facility at KES 40,000 a tonne, the Unit 6 worked example alone is a KES 15.6m phantom write-off, and the Unit 6 water line is about KES 6.7m a season of quantity obligation attributable to water, with the remedy governed by the receipt, the storage contract and the applicable law.

Questions operators actually ask

Before you enrol.

Why is my grain stock short at the end of the season?

In most facilities, because the book figure was never right. Gross weighbridge weight contains water you are about to dry off, foreign matter you are about to clean out, and often the bags the grain arrived in. Book the gross figure and you have created stock that never existed, and it goes missing at the end of the season because it was never there.

Is a grain shortfall always theft?

No, and theft is the last of five channels to investigate rather than the first. Grain leaves a facility as water, as non-grain material, as measurement error, as physical and biological loss, and as security loss. Only the last one is theft, and until the other four are quantified you cannot tell whether any grain is actually missing.

What is the difference between book stock and physical stock in a grain warehouse?

Book stock is what your records say you own after every deduction has been applied, which is not the running total of weighbridge tickets. Physical stock is what you can count on the floor. The gap between them is variance, and variance is not the same as loss, because it still contains moisture that left the grain in store.

How much grain loss is normal in storage?

There is no universal figure, and adopting one from a published range is a negotiating position rather than a measurement. The course teaches you to derive two numbers from your own records instead: a measurement noise floor from your own instrument checks, which you can compute today, and a handling loss allowance from your own reconciled seasons.

What is moisture shrink in grain?

Weight loss caused by removing water, roughly 1.16% of mass per moisture point removed. It is not a loss of grain. Grain is hygroscopic, so it gives moisture up to dry air and takes it back from humid air, and weight moves without any grain going anywhere.

How do I set a tolerance for grain stock variance?

From your own measurement chain. Take the worst observed deviation from your weighbridge cross-checks and the worst observed offset on your moisture meter, convert both to tonnes on your throughput, and combine them in quadrature. That is your noise floor, and your investigation threshold sits above it, because below it you are investigating your own instruments.

Who is liable for stock loss under a warehouse receipt in Kenya?

A licensed warehouse operator must maintain the quantity and quality reflected in the receipt and deliver the commodities to the lawful holder. If it cannot deliver, the Warehouse Receipt System Act No. 8 of 2019, the Regulations and the storage contract govern the remedy: Regulation 23 allows an agreed delivery of similar grade and quality, or its equivalent, within seven days. Obtain Kenyan legal advice before relying on any compensation clause. That is why Unit 7 argues for issuing receipts in clean dry weight equivalent, so the receipt and the physical stock are denominated in the same units and the obligation never includes water you are about to dry off.

What does the certificate record?

Course completion, and it says so on its face. It carries a unique verification number that anyone can check on the public verification page, so an employer can confirm it was earned. It is not a competence or licensing certificate, and it does not replace whatever certification your regulator or certifying body requires.
